Contingency Plans for Practitioners

When you cannot practise, your professional obligations don't pause. We carry them until you can.

If illness, injury, or another unexpected event prevents you from practising, PracMinders steps in to manage the administrative and patient-facing responsibilities of your practice.

We act directly within your Practice Management System — so nothing critical is left undone.

A written plan alone is not enough. PracMinders implements it when it matters.

Who these plans are for

PracMinders’ contingency plans support both AHPRA-registered practitioners and other health and wellbeing professionals working in private practice.

These plans are designed for practitioners who are personally responsible for their own patient records, bookings, and administrative obligations — and whose practice would stop entirely in their absence.

If your work would stop completely, you need a plan that will not.

Two levels of coverage

Both plans follow the same verified, auditable process. The difference is how much flexibility you need.

Core

$350

+ GST, annually

For practitioners who want contingency support for serious or permanent situations, and who already have reliable administrative support in place for short-term or temporary absences.

The Core Plan includes two types of administrative support: Practice Suspension Support and Practice Transition Support. Each requires a separate activation request. Practice Suspension Support handles the immediate step — cancelling appointments and notifying patients. Practice Transition Support covers the full permanent closure process. Both are held in place until needed.

Includes cancellation of appointments, deactivation of online bookings, patient and referrer notification, administrative discharge where applicable, and closure documentation.

Core Plus

$570

+ GST, annually

Core Plus includes everything in the Core Plan, plus flexible absence management for temporary or evolving situations — so you don’t have to treat every absence as permanent from day one.

Unlike Core, Core Plus also includes Flexible Absence Management — designed for temporary or evolving situations where the practitioner’s availability is uncertain. This makes it particularly well suited to practitioners without reliable administrative support who want PracMinders to step in from the moment an absence begins, whatever the circumstances.

If the absence is temporary, Core Plus lets you nominate a defined absence period, manage cancellations and communications while things unfold, and extend that period if needed. If it becomes permanent, the same plan covers practice suspension and transition support.

How activation works in practice

When a contingency request is submitted, we complete a quick verification check and then step into your PMS to carry out the agreed administrative actions — cancelling appointments, pausing online bookings, and sending the right patient notifications.

If a request is received by 3:00 pm AEST on a business day, we aim to cancel and notify all next-business-day appointments in advance, so patients are not turning up without knowing why you’re not there. If it comes through after 3:00 pm, we aim for the following business day. Where we can, we’ll act sooner.

If it becomes clear the practice will not be resuming, we can move from suspension to transition support — including patient and referrer notifications, key reporting, and practical closure documentation for your estate or authorised representative. If the situation is temporary or still evolving (Core Plus), we can pause bookings for a nominated period, keep patients informed, and extend that period if circumstances change.

Peace of mind for you. Protection for everyone else.

Knowing there is a lawful, verified process in place means you can practise without carrying the unanswered question of “what happens if I can’t.”

With PracMinders, your bookings, patient communications, and professional obligations are managed through a defined process that activates when required — not left to goodwill, ad hoc arrangements, or last-minute decisions.

This means:

Patients receive timely notification of cancelled appointments and clear information about their options

Referrers are notified of the practice disruption so they can arrange appropriate follow-up for shared patients

Colleagues are not left carrying legal or administrative responsibility that isn’t theirs

Loved ones are not left navigating unfamiliar compliance and record-keeping obligations

Every action is handled professionally, carefully, and in line with your Australian privacy and professional obligations — even when you are not able to oversee them yourself.
