Whether your absence is unexpected or planned, PracMinders ensures professional obligations are managed lawfully and carefully.

Every action follows secure, verified processes designed to meet Australian privacy and health records law.

When you cannot practise

When a contingency plan is activated, PracMinders steps in quickly and carries out defined administrative actions directly within your practice management system (PMS) — cancelling appointments, suspending bookings, and sending patient and referrer notifications.

This applies to both Core and Core Plus plans. Both cover permanent practice suspension and transition. Core Plus also provides flexible support when the absence is temporary or the outcome is still uncertain.

How contingency activation works

A request is made
You or a nominated Authorised Notifier contact PracMinders to request activation of your Core or Core Plus plan.

We verify the request
Security checks confirm authorisation. We notify you by SMS and email, giving you the opportunity to stop the process immediately if the request was triggered in error.

We step in quickly
Requests confirmed by 3:00 pm AEST are acted on the same day. All appointments scheduled for the next business day are cancelled and patients notified in advance of their appointment time.

Immediate administrative actions
We cancel upcoming appointments, block your online calendar, and send administrative notifications to patients about their cancelled appointments — directly through your PMS.

If the situation is temporary or still unfolding (Core Plus)
With Core Plus, bookings can be paused and patients notified while things unfold. If you recover and return to practice, your Core Plus plan remains in place — Practice Suspension Support and Practice Transition Support are still available for future use within the subscription period.

If absence is ongoing or permanent
Once legal documentation confirms practice will not resume, we notify patients and referrers, administratively discharge patients where applicable, provide templates for notifying professional bodies, and prepare closure documentation for your estate or legal representatives.

The Legacy Readiness Plan

Not yet planning to exit practice, but want to make sure the groundwork is in place if something happens?

The Legacy Readiness Plan documents the key administrative information needed to set up a Legacy Plan in future — including PMS access details and your record custodianship preferences — so that if you die or become permanently incapacitated before formally entering into a Legacy Plan, your loved ones or legal representatives have everything they need to do so without delay.

Core and Core Plus plans both include Legacy Readiness. Practitioners on either plan do not need to purchase it separately.

When practice ends permanently

Permanent practice closure marks the end of clinical work — but not the end of record-keeping obligations.

Under Australian law, patient health records must be retained for a minimum of seven years from the date of last entry for adult patients, and longer for patients who were minors when treated. Those obligations remain regardless of whether the practitioner has retired, died, or become permanently incapacitated.

The Legacy Plan is a separate service from the contingency plans, and is formally entered into by the person or entity who holds legal responsibility for the patient health records. Once in place, PracMinders becomes the lawful custodian and manages record transfer, retention, authorised access, and eventual destruction in line with Australian law.

Initiation

The practitioner, executor, or legally authorised representative contacts PracMinders to request custodianship under the Legacy Plan.

Verification

We confirm legal authority, required documentation, and PMS access arrangements before custodianship can commence. If you have a Legacy Readiness Plan or either a Core or Core Plus Contingency Plan, this process can be streamlined.

Secure transfer

Records are exported from your PMS, encrypted, and transferred to our Australian-based secure storage platform.

Storage & management

Records are retained for the legally required period. Access is granted only upon authorised request — from patients, legal representatives, or other parties with lawful authority.

Retention & destruction

Once statutory retention periods expire, records are securely destroyed in line with Australian law. Audit documentation is provided.
